It provides Plan Members the flexibility to complete enrolment on their own time. &nbsp;For new groups, these events are configured by the <strong>RBC Administration team<\/strong>. For new hires, configuration is managed at the <strong>Plan Administrator<\/strong> level. Events can have a set start and end date or remain open-ended for ongoing new hires.<\/p>\n\n\n\n<p><em>To determine your eligibility for this feature, please contact your Client Relationship Specialist or the Group Benefits Solutions Team at 1-855-264-2174.<\/em><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-is-self-enrolment-right-for-your-group\"><strong><a href=\"#h-is-self-enrolment-right-for-your-group\" class=\"jumpLink\">Is Self-Enrolment right for your group?<\/a><\/strong><\/h2>\n\n\n\n<p>The Plan Administrator is to play a fundamental role in managing and monitoring enrolment events to ensure members complete their enrolment successfully. All Plan Members must have an email and mobile number to complete the enrolment process. The Plan Administrator will receive an account activation email from the RBC Administration team. A new temporary password is generated.<\/li>\n\n\n\n<li>If Plan Member information requires an update, click on <strong>Edit<\/strong>. Complete any necessary changes to the Plan Member. Click on <strong>Save<\/strong>. If the Plan Member has the original invitation email with the original temporary password, you do not need to resend email. If there is a change in email, or the plan member cannot locate the original email, you will need to click on <strong>Resend Email<\/strong>.&nbsp;<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-invite-a-new-plan-member\"><strong><a href=\"#h-invite-a-new-plan-member\" class=\"jumpLink\">Invite a New Plan Member<\/a><\/strong><\/h2>\n\n\n\n<ol class=\"wp-block-list  list-core-block second-level-inherit third-level-inherit\">\n<li>From the <strong>Enrolment Events<\/strong> dashboard, select the event you wish to use and click on <strong>View.<\/strong><\/li>\n\n\n\n<li>Click on <strong>Invite New Member.<\/strong><\/li>\n\n\n\n<li>Enter in the Plan Member\u2019s personal information details.<\/li>\n\n\n\n<li>Add HSA (Health Spending Account) contributions, if applicable.<\/li>\n\n\n\n<li>Add WSA (Wellness Spending Account) contributions, if applicable.<\/li>\n\n\n\n<li>Click on <strong>Save<\/strong>.<\/li>\n\n\n\n<li>Member information is shown under the Event Name along with the following:\n<ul class=\"wp-block-list list-core-block second-level-alphabetical-list third-level-blue-disc default is-style-alphabetical-list\">\n<li class=\"mar-l-hlf mob-mar-l-hlf\"><ol><li><strong>Email sent<\/strong>: Confirmation that the invitation has been automatically generated out to the Plan Member<\/li><\/ol><\/li>\n\n\n\n<li class=\"mar-l-hlf mob-mar-l-hlf\"><strong>Status: <\/strong>You can view which status the plan member is in:<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n<p class=\"mar-l-hlf mob-mar-l-hlf\"><strong>New:<\/strong> Employee has not started the event enrolment.<\/p>\n\n\n\n<p class=\"mar-l-hlf mob-mar-l-hlf\"><strong>In Progress:<\/strong> Employee has authenticated but has not yet completed.<\/p>\n\n\n\n<p class=\"mar-l-hlf mob-mar-l-hlf\"><strong>Completed:<\/strong> Employee has completed the enrolment and has a Plan Member ID assigned.<\/p>\n\n\n\n<p class=\"mar-l-hlf mob-mar-l-hlf\">c. <strong>Last login<\/strong> time<\/p>\n\n\n\n<ol start=\"8\" class=\"wp-block-list  list-core-block second-level-inherit third-level-inherit\">\n<li>Click on <strong>Edit <\/strong>to change any plan member\u2019s personal information.<\/li>\n\n\n\n<li>Click on <strong>Resend email<\/strong> if Plan Member gets locked out or cannot find the original email sent to them. The <strong>Resend email <\/strong>option generates a new password to be sent via email and gives the Plan Member another opportunity to authenticate their data and continue with the enrolment process.<\/li>\n\n\n\n<li>&nbsp;Repeat steps 2-7 for additional Plan Members.&nbsp;<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-upload-a-new-plan-member\"><strong><a href=\"#h-upload-a-new-plan-member\" class=\"jumpLink\">Upload a new Plan Member<\/a><\/strong><\/h2>\n\n\n\n<p>Use the Upload Members feature to invite multiple members all at once through a csv file. Use the standard csv file template <a href=\"https:\/\/www.rbcinsurance.com\/salesresourcecentre\/Self%20Enrolment%20Census%20Template-1.xlsx\" data-dig-id=\"LP-27228-e2d7aa2c\" data-dig-label=\"here\" data-dig-action=\"link click\" data-dig-category=\"LP\" class=\"rbc-link-format\">here<\/a> . The system will automatically send out the email invitations and provide a status of how many records were uploaded successfully.<\/li>\n\n\n\n<li>When errors occur, click on the download symbol to view the error records with explanations. The RBC Administration team will configure the event for a new group. To set up a self-enrolment event for new hires, please refer to the below instructions.<\/p>\n\n\n\n<ol class=\"wp-block-list  list-core-block second-level-inherit third-level-inherit\">\n<li>Navigate to <strong>Enrolment Events<\/strong> by selecting <strong>Enrolment Events <\/strong>from the navigation menu on the left side of the page.<\/li>\n\n\n\n<li>Click on <strong>Add New Event<\/strong>.<\/li>\n\n\n\n<li>Enter an <strong>Event Name<\/strong>. It is suggested to use \u2018New Hire\u2019 and include the Billing Division and or class, if applicable. Ex: New Hire \u2013 BD 1, Class 1<\/li>\n\n\n\n<li>Select <strong>Event Type<\/strong>:\n<ul class=\"wp-block-list list-core-block second-level-inherit third-level-inherit is-style-alphabetical-list\">\n<li class=\"mar-l-hlf mob-mar-l-hlf\"><strong>New Hire<\/strong> \u2013 open ended self-enrolment as new hires are being onboarded over time.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li class=\"mar-l-hlf mob-mar-l-hlf\">Enter <strong>Start Date<\/strong> \u2013 this is the event start date. It is recommended to use a start date before the effective date of coverage. This allows plan members to begin their enrolment process and have Plan Member IDs prior to their effective date.<\/li>\n\n\n\n<li>Enter <strong>End Date<\/strong> \u2013 Leave this section as <strong>blank<\/strong> for new hire events.<\/li>\n\n\n\n<li><strong>Lead time to send email &#8211; <\/strong>Select a value ONLY if the Event Start Date is in the future. Otherwise leave at 0.<\/li>\n\n\n\n<li>Complete the <strong>Contact Description<\/strong> field to indicate the primary <strong>Plan Administrator <\/strong>contact name, followed by phone number and email address. The Plan Members can reach out for assistance using this contact information.<\/li>\n\n\n\n<li>Review the <strong>Invitation Email Details<\/strong> section.&nbsp; Click on <strong>View Template<\/strong>.&nbsp; This is the email template that will be sent out to the Plan Members once the enrolment email goes out. When reviewing the invitation email details, use the <strong>Select Email Template<\/strong> drop down to change which language appears first in the email invitation.<\/li>\n\n\n\n<li>Review the <strong>Reminder Email Details<\/strong> section. Click on <strong>View Template<\/strong>. This is the reminder email template that will be sent out to Plan Members based on the reminder frequency. When reviewing the reminder email details, use the <strong>Select Email Template<\/strong> drop down to change which language appears first in the email invitation.<\/li>\n\n\n\n<li>Setting the <strong>Reminder frequency<\/strong> will trigger how often the reminder emails will go out to Plan Members. The standard default frequency is set up for 2 days. The reminder email does not include the default password. The Plan Member must use the original email received to obtain the password and link to access the self-enrolment tool.<\/li>\n\n\n\n<li class=\"mar-l-hlf mob-mar-l-hlf\">Complete the <strong>Contribution Amounts <\/strong>section to deposit contributions to HSA (Health Spending Account) and or WSA (Wellness Spending Accounts) if available under your plan.&nbsp;\n<ul class=\"wp-block-list list-core-block second-level-inherit third-level-inherit is-style-alphabetical-list\">\n<li class=\"mar-l-hlf mob-mar-l-hlf\">Toggle on <strong>HSA<\/strong> to enter the maximum amount allowed. This maximum will set the limit to ensure the deposits reported are not exceeded. It is recommended to input the maximum amount based on your plan design.<\/li>\n\n\n\n<li class=\"mar-l-hlf mob-mar-l-hlf\">Toggle on <strong>WSA<\/strong> to enter the maximum amount allowed.
